About this policy

Rentiplanner (rentiplanner.com) attaches great importance to protecting your personal data. We only process data that is necessary for our services and handle all information with due care. We never make your data available to third parties for commercial purposes.

This privacy policy applies to all services Rentiplanner offers through rentiplanner.com. By using our service you agree to this policy. If you have questions, you can reach us at rentiplanner@gmail.com.

Who processes your data?

Rentiplanner, established in Belgium, is the controller for the personal data you provide to us as a user. For the data you enter as a host about your guests (guest names, booking details), Rentiplanner acts as processor and you are the controller.

Which data do we process?

We process the following categories of personal data:

Account details: name and email address on registration
Calendar and booking data: reservations, guest names and notes you enter yourself
Payment data: for paid subscriptions we process payment data through our payment provider
Technical data: IP address, browser and operating system, for security and troubleshooting
Usage data: how you use the service, to improve it

What do we use your data for?

To manage your account and give you access to your calendars
To deliver and improve the service
To inform you about changes to the service or your subscription
To provide technical support
To process payments and draw up invoices
To prevent fraud and safeguard security

We do not use your data for targeted marketing without your explicit consent.

Providers and sub-processors

To operate Rentiplanner we use the following external providers. The required data processing agreements have been concluded with each of these parties.

Supabase

We store your account details and calendar data through Supabase. Data is processed within the European Economic Area. Supabase does not use your data for its own purposes.

Vercel

Our website and application are hosted through Vercel. Vercel may process technical metadata, but no personal data is shared for other purposes.

Email services

To send transactional emails (confirmations, password resets) we use an external email service. Your name and email address are shared in order to send the email. Emails are kept on the mail servers for up to 45 days.

Payment providers (Mollie / Stripe)

For paid subscriptions, payments are processed through Mollie or Stripe. They process your name, billing address and payment details. Both parties take appropriate security measures and do not keep data longer than legally required.

Google Analytics

We use Google Analytics to track the use of our website. Anonymous usage data is collected in the process. Google may process this data in accordance with its own privacy policy.

Retention periods

We keep your data for as long as you have an active account. After more than 18 months of inactivity (no sign-in), we reserve the right to delete your account and the associated data, provided we inform you beforehand.

If you cancel your account, your personal data is deleted within 30 days. Backups are permanently erased after a maximum of one year. Invoice data is kept in line with the statutory accounting retention obligation (7 years).

Your rights (GDPR)

Under the General Data Protection Regulation (GDPR) you have the following rights as a data subject:

Right of access: you can request which personal data we process about you
Right to rectification: you can have incorrect or incomplete data corrected
Right to erasure: you can request deletion of your personal data
Right to restriction: you can have the processing of your data restricted (temporarily)
Right to data portability: you can request your data in a readable format
Right to object: you can object to the processing of your data

For all these requests you can send an email to rentiplanner@gmail.com. You will receive a reply within 30 days. Copies are sent to the email address we have on file.

You also always have the right to lodge a complaint with the Belgian Data Protection Authority (GBA/APD) if you believe we are processing your personal data incorrectly.

Cookies

We use functional cookies that are necessary for the service to work (staying signed in, managing sessions). We also use analytics cookies (Google Analytics) to measure the use of our website. On your first visit you are informed about this through our cookie banner.

Security

We take appropriate technical and organisational measures to protect your personal data against loss, misuse or unauthorised access. All data transfer takes place over encrypted connections (SSL/HTTPS). In the event of a data breach we will inform you as soon as possible and within 72 hours at the latest.

Processor role for guest data

When you enter guest names and booking details into Rentiplanner as a host, you are processing personal data of your guests. In that case you are the controller and Rentiplanner acts as processor. Rentiplanner processes this data only on your instructions and for the operation of the service. You remain responsible for processing your guests' data correctly in accordance with the GDPR.

Changes

We reserve the right to amend this privacy policy. In the event of significant changes you will be informed by email or through a notification in the application. This page always holds the most recent version.
